Job Purpose
- The Assistant Manager supports the analysis, monitoring, and reporting of project activities, with a specific focus on overseeing the Project Management Information System (PMIS), Change Request and Communication. This role also involves coordinating and integrating various organizations, towers, and workstreams within the project to ensure seamless collaboration and successful project delivery. To prepare the monthly report for the project progress.
Key Responsibilities
1. Project Monitoring
- Support the project monitoring and tracking of activities and reports via MS Project, S-Curve, PMIS and any tracking system as required.
- Provide regular project updates and reports to senior management, highlighting achievements, challenges, and recommendations for improvement.
- Analyse status of projects and provide regular and consistent reporting to management by reviewing and monitoring overall project progress, including all the activities and scopes performed by contractors.
- Provide administrative assistance to the team, including but not limited to maintaining project documentation, preparing reports, and managing Microsoft Teams channels.
- Archive all project documentation and files for future reference. Ensure that all project documentation is stored in a secure location.
- Support audits and compliance checks on documentation, reporting, and processes.
- Perform due diligence to ensure that quality of project deliverables are of acceptable standards and minimum criteria.
- Track project deliverables of the teams and performed by contractors, analyse the data and present the findings to the team.
2. Communication and Stakeholder Management:
- Prepare project status reports and presentations for management and stakeholders.
- Coordinate meetings, workshops, and conferences, including agenda preparation and minutes documentation.
- Facilitate communication and collaboration among project stakeholders.
- Support other workstreams/ tower with administrative tasks, project coordination, and communication, as needed.
3. Risk Management
- To identify, analyze and evaluate the potential risk and issue project reported by reporter.
- To ensure risk/ issue management is implemented in accordance with established processes.
- Review, evaluate and monitor the progress of reported risks/ issues.
- Review, evaluate and recommend the Risk Management/ Issue and Control Report (monthly) to the Client in accordance with the specifications that have been set
- Coordinate internal resources and third parties/vendors for the flawless execution of projects
- Works collaboratively with other project team, proactively engage, discuss and coordinate with project team to understand the project situation and status in order to identify the potential risk concerns and issue raised
- Manage the relationship with the client and all stakeholders
4. Procurement Management:
- Manage and monitor the activities in the procurement plan and implementation.
- Provide data, reports, and insights to support senior management decision-making.
- Prepare a report on the results of evaluating and monitoring the implementation of procurement activity /process, and propose recommendations to project management.
5. Documentation and Reporting:
- Manage and submit completes detailed weekly and monthly progress status report depending on the needs of project to government.
- Maintain comprehensive documentation related to workstream integration, including plans, schedules, and progress reports.
6. Others:
- Comply to company policies and procedures.
- Other responsibilities as assigned by immediate supervisor or management.
Qualification
- Possess Bachelor’s degree in Information Technology, Computer Science, Statistics, Mathematics, or a related field.
- Added Advantage: Project Management Professional (PMP), Certified Associate In Project Management (CAPM), PRINCE2, ITIL, TOGAF.
Work Experience
- Proven experience in managing/ performing monitoring and controlling and reporting functions for government IT project with a minimum 7 years related experience.
Technical Skills
- Project Management (Integrated, Scope, Schedule, Cost, Quality, Resource, Risk, Communication, Procurement, Stakeholder): Experience with project management best practices/ methodologies/ project lifecycle.
- Project Management Software: Experience/ knowledge with project management software such as Microsoft Project Plan or Project Management Information System

- Team Collaboration: Excellent communication and collaboration abilities, with the capacity to work effectively across teams and stakeholders.

- Communication Skills: Proficient in Bahasa Melayu and English, especially in interpersonal communication and report writing.
- Additional Preferences: Familiar with manufacturing environment especially IR 4.0 principle pillars in smart manufacturing.
