Assistant Manager

Job Purpose

  • The Assistant Manager, Corporate Operations supports the Head of Operations in managing the company’s internal operations and ensuring compliance with corporate governance requirements. This role focuses on the smooth execution of administrative, reporting, and coordination functions across departments to maintain operational efficiency and support management decision-making.

Key Responsibilities

  1. Corporate Operations & Administration

    Manage daily operational and administrative functions including procurement coordination, asset management, and logistics.

    Develop and implement Standard Operating Procedures (SOPs) to improve efficiency and compliance.

    Prepare official correspondence, documentation, and reports for internal and external communication.

    Support operational planning and budget tracking for the Operations Sector.

  2. Governance & Compliance

    Prepare and compile reports, submissions, and materials for Board, Management, and Committee meetings.

    Ensure compliance with internal governance frameworks, policies, and statutory requirements.

    Liaise with Finance, HR, and Legal departments to ensure alignment in documentation and operational compliance.

    Support internal audits, risk assessments, and follow-up actions.

    Maintain systematic record-keeping for easy document retrieval and audit readiness.

  3. Stakeholder Coordination

    Coordinate with partner agencies, vendors, and internal departments to ensure effective operational delivery.

    Manage meeting logistics, scheduling, and minutes of meetings.

    Facilitate workshops, briefings, and events related to operational and governance matters.

    Coordinate corporate engagement activities and programs.

  4. Reporting & Performance Monitoring

    Track and update departmental KPIs and operational performance dashboards.

    Consolidate monthly operational summaries for management reporting.

    Support preparation of presentations, briefs, and operational reports.

Qualification

  • Bachelor’s Degree in Business Administration, Management, or equivalent.
  • Bachelor’s Degree in Business Administration, Management, or equivalent.
  • 3–5 years of experience in corporate operations, administration, or governance.
  • Familiarity with GLC/government-linked operations, compliance processes, and reporting standards.
  • Excellent communication (English & Bahasa Malaysia), writing, and interpersonal skills.
  • Proficient in Microsoft Office Suite and Workspace tools.
  • Organized, detail-oriented, and able to manage multiple priorities.
  • Strong organizational and coordination skills.
  • Ability to work independently with minimal supervision.

Work Experience

  • The ideal candidate has 3–5 years of experience in corporate operations, PMO support, or administrative management within technology, government, or GLC environments, with a proven track record in operational governance, documentation control, procurement coordination, reporting, and multi-stakeholder engagement.
  • They must be capable of preparing high-quality reports, dashboards, minutes, and committee papers; supporting project delivery and cross-department coordination; handling vendor and contract processes; and contributing to SOP improvements, workflow optimisation, and compliance activities.

Technical Skills

  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Ability to work independently with minimal supervision and deliver under pressure.
  • Excellent stakeholder management and coordination skills.
  • Strong sense of responsibility, reliability, and confidentiality.
  • Familiarity with basic project management and operational governance processes.
