Job Purpose
- To provide comprehensive operational and logistical support for the planning and execution of MIMOS’s public relations events, exhibitions, and strategic visits. This role is crucial for ensuring the smooth day-to-day coordination that enhances MIMOS’s corporate image, facilitates successful stakeholder engagements, and supports the organization’s strategic objectives.
Key Responsibilities
- Event & Exhibition Coordination:
• Provide end-to-end logistical support for a wide range of events, including international exhibitions (e.g., ITEX’25, CYDES 2025), internal townhalls, and technology previews.Tasks include venue liaison, vendor coordination, material preparation, and on-site event management. - Visit Facilitation Support:
• Act as a key point of contract for coordinating domestic and international delegations visiting MIMOS. Responsibilities include managing visit schedules, coordinating with internal hosts, and ensuring all logistical arrangements are in place. - PR & Communication Administrative Support:
• Assist in the preparation of event-related materials, including invitations, briefing documents, presentations, and post-event reports. Helps maintain databases for stakeholders and vendors. - Internal Program Support
• Coordinate the logistics for internal knowledge-sharing sessions such as “Tech Talk” and “Tech Café”, including managing registrations, arranging venues, and supporting speakers. - Stakeholders Liaison:
• Serve as an operational liaison between internal departments (e.g., technical teams, facilities) and external vendors/partners to ensure clear communication and seamless execution of event and visit requirements.
Qualification
- Possess Bachelor’s degree in Public Relations, Communications, Marketing, Business Administration or other related fields.
Work Experience
- Minimum of 3-5 years of experiences in event coordination, public relations, or administrative support role.
- Experience in supporting large-scale events or corporate functions is highly advantageous.
Technical Skills
- Event coordination: Strong understanding of eventn logistics, vendor management, and on-site support.
- Administrative Proficiency: Advanced skills in Microsoft Office (especially PowerPoint and Excel)
- Communication Skills: Excellent written and verbal communication skills for drafting correspondence and interacting with stakeholders.
- Organizational Skills: Meticuluos attention to detail and the ability to manage multiple tasks simultaneously
Soft Skills
- Proactive and Resourceful: A self-starter who can anticipate needs and solve problems efficiently.
- Strong Interpersonal Skills: Polite, professional, and able to build rapport with colleagues, visitors and vendors.
- Team Player: Collaborative spirit with the ability to work efficiently within a team
- Ability to Work Under Pressure: Calm and competent when managing last-minute changes and tight deadlines
